College Policies and Procedures

Responsibilities of Agent

  • Promote the programs and the college with integrity and accuracy and recruit student in an honest, ethical and responsible manner
  • Give to prospective students, before they complete an application, information regarding Durham College and its facilities, programs, fees and refund conditions, living in Canada, campus location, cost of living, the minimum level of English language ability, educational qualifications and work experience required for acceptance into a Program, and Canadian study permit requirements
  • Assist to uphold the high reputation of Durham College and of the Canadian international education sector
  • Submit student applications following the procedures specified by Durham College
  • Only undertake promotional and marketing activities that are connected to or make reference to Durham College that are expressly authorized by Durham College

Responsibilities of Durham College

  • Give the Agent sufficient information and training to enable the Agent to conduct the services
  • Communicate changes to policy and procedures, programs available to international students and new and updated promotional materials
  • Investigate any complaints received from students in regards to an Agents conduct and take appropriate action
  • Process applications efficiently and respond in a timely manner
  • Duly process all completed applications received but is under no obligation to accept any prospective students referred by the Agent
  • Pay the agent fees for each student successfully recruited and still enrolled at Durham College according to agreement

 

Commission Procedures

To receive commission for the students your agency has recruited to Durham College, please follow the procedures below:

  1. After the 10th day of class, Durham College International will email you a list of all students eligible for commission payments for the semester.
  2. Review the list and submit a final invoice on company letterhead before the following deadlines:
    • October 1 for September intake
    • February 1 for January intake
    • June 1 for May intake
  3. All final invoices must be stamped and signed. Invoice should be directed to:

  4. If there are any discrepancies in the student list, notify intlpartners@durhamcollege.ca immediately for verification.
  5. Durham College will process the commission and make payment to your agency within 30 days of receipt of a CORRECT invoice.

REFUND/WITHDRAWL POLICY

The International Student Withdrawal and Refund Policyoutlines eligibility requirements to request a withdrawal. A student must meet one of the following requirements:

  1. Study permit refusal – If a study permit is denied by the Canadian High Commission, the fees paid may be refundable less the proof of visa denial processing fee.
  2. Withdrawal (before landing in Canada) – If a student decides not to pursue studies in Canada due to unforeseen circumstances, including but not limited to the following:
    1. Does not apply for a study permit
    2. Bank loan application is declined by the bank
    3. Does not receive a decision on his or her study permit application and he or she does not wish to take a deferral to the next available intake at Durham College
    4. Health concerns that prevent student from travelling. In such circumstances, the student may be eligible to receive a refund of the fees she or he paid, less the MTCU Tuition and Ancillary Fees Reporting Operating Procedure Policy fee, and the Application fee.
  3. Program Withdrawal (after landing in Canada) – If a student chooses not to pursue studies at Durham College after he or she has landed in Canada and has received a Canadian Study Permit based on a valid offer letter from Durham College, she or he may be eligible to receive a refund of the fees he or she paid less the MTCU Tuition and Ancillary Fees Reporting Operating Procedure Policy fee, the Application fee and, if applicable, the DC Settlement Services fee. SPP India students must show proof of admission to another Canadian public college or university for the semester to which they were originally admitted to Durham College.

All international student refund requests must be received through the International Office at Durham College or they will not be processed. Send all requests to intlfinance@durhamcollege.ca. After contacting intlfinance@durhamcollege.ca, a student will be sent an email confirmation and a list of documents that must be filled in, signed and returned before a request can be processed. Students must submit all necessary documentation for the refund by the deadline of 4:00 p.m. (EST) on the 10th official day of the semester. For any requests received after this deadline, no refund for first semester fees will be issued. For withdrawals after the 10th official day of the semester, only subsequent semester fees will be reimbursed. No exceptions will be made.

DEFERRALS

There are occasions where a student has not received a decision on her or his study permit or there are unforeseen financial or family situations where a student may not be able to leave his or her home country in time to start studies. In these situations a student may request to have a deferral to the next available intake at Durham College. No deferrals will be made for students who have already landed in Canada. If an SPP student is denied a study permit by the Canadian High Commission, Durham College is not permitted to offer a deferral under the policy of the SPP program.

All deferral requests must be sent to the International Office or they will not be processed. Please send all requests to intlfinance@durhamcollege.ca. Students must submit all necessary documentation for the deferral by the deadline of 4:00 p.m. (EST) on the 10th official day of the semester. For any requests received after this deadline, no deferral and no transfer of first semester fees paid will be issued. No exceptions will be made. TRANSFERRING TO ANOTHER COLLEGE

In order for the student to remain compliant with the Canadian High Commission guidelines for applicants approved through SPP, it is strongly recommended that all students complete a minimum of one semester at the college for which the Study Permit was issued. Failure to do so will result in the educational institution informing the Canadian High Commission of the breach as required through the reporting process. This information will be entered into the student’s database and will be accessible by all Canadian immigration officials. This may negatively impact consideration for an extension of a study permit, the acquisition of a work permit upon graduation, and/or an application for Permanent Residency.

Students who have landed in Canada and have received a Canadian Study Permit based on a valid offer letter from Durham College must book an in-person appointment with the International Office to complete and sign an official withdrawal form to be eligible for any refund. TRANSFERRING FROM ANOTHER COLLEGE

International students may be eligible to receive credit for previous classes or courses they have successfully completed. This will exempt them from a course in their Durham College program that is similar in structure and learning, following written approval from a program dean or designate.

CHANGE OF AGENT

If a student is requesting to change agent representation, a Change of Request form must be submitted. This form is available by contacting intlpartners@durhamcollege.ca, or through our local staff in India, Nigeria or China. A Change of Agent request can only be considered if tuition fees have not been paid. The student must submit the form directly to intlpartners@durhamcollege.ca; we ask that agents do not submit the request on behalf of a student. Students are encouraged to notify the original agent of their decision. The student will be notified via email once the form has been processed. Final approval is at the discretion of DC International.

Agents Guide on Applying

Applications to Durham College are submitted completely online. In preparing to start an online application, the following information and documents will be required:

  • High school (secondary school) transcript
  • High school (secondary school) diploma
  • Post-Secondary (college or university) transcript – if applicable
  • Post-secondary (college or university) degree – if applicable
  • Proof of English Language Proficiency (if required)
  • Passport
  • Application Fee of $100 CAD (non-refundable)

All documents are to be scanned and uploaded as part of the online application. It is important to save each document as a separate document (PDF or JPEG documents only; PDF preferred). If the document is several pages in length (university transcripts for example), save as a multi-page PDF when possible.

APPLICATION TIPS

  • Students can apply for up to 2 programs. Please do not duplicate the program choices, it is acceptable to only apply for 1 program.
  • Verify that the student’s information is all correct before leaving each page including name, DOB and address in home country. Accuracy is very important as whatever you enter will be displayed in their Letter of Acceptance.
  • Students must meet the minimum English proficiency requirements as shown in our Viewbook and online.
  • Students must also meet subject credit admission requirements as noted on program pages such as durhamcollege.ca/pnii before submitting an application (i.e Mathematics, Chemistry, Biology, etc.)
  • If students do not meet the entrance requirements, the student can choose another program or apply for one semester of the applicable General Arts and Science program (GASH or GASK). On the same application you can apply for the program of choice for the next intake. For example, GAS Health Prep – Fall 2016, Practical Nursing – January 2017.
  • Agents who submit applications on behalf of their students will have some access to their file via the decisions portal
  • Please do not insert N/A if a student doesn’t have a surname, please insert a period.
  • Please do not use Caps Lock or all capital letters.
  • Ensure the student name on the application matches their passport.

Training

If you have recently signed a new agreement with us, or have new staff who require training please contact intlpartners@durhamcollege.cato arrange for this. Training is completed via Skype and takes approximately 1-1.5 hours. Training is available Monday to Friday, 8:30 a.m. to 4:30 p.m. EST, however exceptions can be made outside of these hours due to time difference. If you are an agent in India, China or Nigeria, training will be provided by our local staff.

College Fairs and Events

Durham College will be attending a number of upcoming college fairs and events.

When can student applications be submitted?

Applications are accepted year round, however we encourage you to submit the application as soon as possible to ensure availability in the program and time to allow for visa processing.

What is Durham College’s TOEFL institution code?

Durham College’s TOEFL institution code is 8428.

Is health insurance mandatory for international students?

Yes, health insurance is mandatory for all international students studying in Canada. Students will have a basic medical insurance plan provided to them by the International office at Durham College. A second health insurance plan is provided to all students by the Durham College Student Association and includes premium policies including dental and prescriptions. Both plans are included in the fees students pay as outlined in the offer letter.

Does Durham College provide guardianship for students who are under the age of 18 when they arrive in Canada?

No, Durham College does not provide guardianship for students under the age of 18. The legal parents of the student must appoint a guardian who is living in Canada to act as a custodian in place of a parent. Citizenship and Immigration Canada have provided information on appointing a guardian and the forms required, at http://www.cic.gc.ca/english/study/study-minors.asp. If a guardian is not available in Canada for a particular student, Durham College can provide contact information for companies based in Ontario who provide custodianship services. The use of these services is at the discretion of the legal parents.

When are commission payments paid?

Commission invoicing procedures are sent out after the 10th day of class each semester. Once agents have submitted invoices and a review is complete, payments will be made.

How long does it take for a decision to be made on an admission application?

We typically strive for a one week turnaround time, however during peak periods this may be a bit longer.
